In this article, I am going to cover just how well Microsoft has added super powers to this note taking tool. As a point of reference, this article covers the functionality available as with the OneNote 2019 desktop version. While all three are solid products, OneNote is often ignored as it is a freebie included with every Microsoft Office 365 account. Many people tend to overlook the product for what they feel are flashier note taking tools, like EverNote, Notion, or Clickup. Microsoft OneNote is the underrecognized superhero of a project manager’s world. ![]() Instead of bugging you for a status update, your team can check themselves.Spend less time searching and more time doing with automated digital asset organization and workflows. What better way to get everyone on the same page (literally)? Invite everyone to access your notebook and contribute information. That notebook for team activities I mentioned? OneNote allows you to share access (View, Edit, or Own) with others. SHARING INFORMATION EXTERNALLY Easily Share Your Notes with the Team When tracking multiple projects, you may also want to tag each page with a custom tag for that project, to easily pull all pages at once. You can also mark items in other ways - “save for later,” “urgent,” “schedule meeting,” etc. OneNote allows you to search by tag, easily pulling up all tasks assigned to a particular person. Make things easier on your team and yourself by creating tags for each member, then mark their tasks accordingly. Link Files and Emails for Easy AccessĪ list of tasks is no good if no one is assigned to complete them, or if they aren’t sure which tasks are theirs. These links allow you to easy direct teammates attention to relevant meeting minutes, keep track of notes across tabs, or reference project notebooks or tabs from your general to-do list. Highlight text where you’d like to insert the link, and insert it with the usual right-click and “Link” selection. Right-clicking any such entity provides the option “Copy link to ”. Personally, my favorite function in OneNote is cross-linking tabs, pages, and paragraphs. SHARING INFORMATION INTERNALLY Cross-Link Pages and Paragraphs for Quick Reference Charts are especially useful for tracking to-do list items, with columns for the category, status, and deadline. Though OneNote does not allow you to filter charts like in Excel, you can still sort. Create and Sort Tables to Track Tasksĭon’t forget about charts. Pages are useful for tracking notes or meetings, and OneNote provides the option to nest pages.
